Applications

An application is a real-world software product, such as a mobile application, web service, web application, or rich client. Applications are organized within business units. Clicking on a business unit reveals a list of its applications.

Access to an application is permitted if any of the following is true:

  • The user is a member of at least one of its projects.

  • The user is a member of its business unit and the user has the permission Global Roles→Administration→View all projects.

  • The user has the global role Administrator.

Application details

An application has the following properties:

  • Application Name: The name of the application.

  • Projects: A list of projects in the application.

  • Last modified: The last time an application was modified.

  • Tags: Custom labels assigned to the application to help identify it.

Add a new application

To create an application, follow the steps below:

Prerequisities:
  • Users require the permission Global Roles→Project Management→Add application.

Steps:
  1. Open the menu option Business Units→All.

  2. Select the business unit where you want to assign the application. A list of applications in the business unit loads.

  3. Click the plus [add circle] button. A dialog opens.

  4. Enter a name for the new application.

  5. Click Create.

Once the application is created, you will immediately be taken to the application’s empty list of projects.

Tag an application

Add tags to an application that automatically transfer to all projects and releases within that application. Tags help make reports and searches more refined. With application level tagging, projects and releases inherit their tags from their parent applications, so there is no need to set up tags each time you create a new project or release. Additionally, you can search for application tags with partial or full searches from the Applications list.

At the project and release level, application tags are read-only, and can only be removed or modified from the application. Additionally, projects can have their own tags, so both application and project tags can be viewed together from a number of views including the application list, project list, and tags widget from the project overview. When application and project tags appear together, application tags appear first with a lighter background.

Add and remove application tags

Add and remove tags from your application when creating or editing it, or by using the steps below:

Prerequisites:
  • Users require the permission Global Roles→Project Management→Add application.

Steps:
  1. Select the Business Units tab from the menu to access the Applications list.

  2. From the Applications list, cursor over an application.

  3. Click "Add a tag…​" when it displays below the application name.

  4. Type in the name of the tag and push the Enter key.

    1. Click the "X" on the right side of the tag to remove it.

The tag is added to the application and is automatically applied to all archived and active projects and releases. You can add as many tags as you like.

When you remove a tag from the application, it also removes it from all archived and active projects and releases for that application. You can remove as many tags as you like from the application level, but you cannot remove application tags from the project level.

Edit an application

To edit an application, follow the steps below:

Prerequisities:
  • Users require the permission Global Roles→Project Management→Add application.

Steps:
  1. Open the menu option Business Units→All.

  2. Select the business unit where the application is assigned. A list of applications in the business unit loads.

  3. Use the search function if you need to find the application in the list.

  4. Hover over the application’s row on the far right, click [ [more vert] ] and select Edit Application. A dialog opens.

  5. Update the details of the application.

  6. Click Done.

Changes to the application are immediate.

Move an application

To move an application to a different business unit, follow the steps below:

Prerequisities:
  • Users require the permission Global Roles→Project Management→Add application.

  • Users require the permission Global Roles→Project Management→Delete application.

Steps:
  1. Open the menu option Business Units→All.

  2. Select the business unit where the application is assigned. A list of applications in the business unit loads.

  3. Use the search feature if you need to find the application in the list.

  4. Hover over the application’s row on the far right, click [ [more vert] ] and select Move Application. A dialog opens.

  5. Choose a business unit from the dropdown list.

  6. Click Confirm.

The application, including its projects and task information, is now assigned to the business unit of your choice.

Delete an application

To delete an application, follow the steps below:

Caution
Deleting an application removes all of its projects.
Prerequisities:
  • Users require the permission Global Roles→Project Management→Delete application.

Steps:
  1. Open the menu option Business Units→All.

  2. Select the business unit where the application is assigned.

  3. Use the search feature if you need to find the application in the list.

  4. Hover over the application’s row on the far right, click [ [more vert] ] and select Delete Application. A dialog opens.

  5. Confirm that you understand that the application and all of its projects will be removed.

  6. Click Delete.

Once an application is deleted, its projects and associated task information are removed from the system.

Archive an application

To archive an application, follow the steps below:

Prerequisities:
  • Users require the permission Global Roles→Project Management→Archive application.

Steps:
  1. Open the menu option Business Units→All.

  2. Select the business unit where the application is assigned. A list of applications in the business unit loads.

  3. Use the search feature if you need to find the application in the list.

  4. Hover over the application’s row on the far right, click [ [more vert] ] and select Archive Application. A dialog opens.

  5. Click Archive.

The application is archived and removed from the business unit’s application list.

Unarchive an application

To unarchive an application, follow the steps below:

Prerequisities:
  • Users require the permission Global Roles→Project Management→Archive application.

Steps:
  1. Open the menu option Business Units→All.

  2. Select the business unit where the application is assigned. The "Applications" tab is shown as selected.

  3. Select the "Archived" tab.

  4. Use the search feature if you need to find the archived application.

  5. Hover over the application’s row on the far right, and select Unarchive Application. A dialog opens.

  6. Click Unarchive.

The application is unarchived and restored to the business unit’s application list.

Lifecycle

Applications can be in three states:

  • Active - Applications are active once they are created. Users with the appropriate permissions can create projects within an application and begin working on them.

  • Archived - If no additional work is planned for an application, users can archive it for safe-keeping. An application can be unarchived to continue working on it.

  • Deleted - If an application is no longer needed, it can be deleted.

Warning
Once an application is deleted, it is permanently removed from the system, including all of its projects. Deleted applications are not included in any reporting.
